SUMMER PICNIC PROCEDURES

Picnic Date - Saturday, July 20, noon-4 p.m.

Three/Six Months in advance we need to start the planning - 

1.  Reserve Woodlands Park (KT)
2.  Update the Banner - get from City Parks Dept at Maintenance Center on 6th and bring to FAST SIGNS for updating. (TH & KT)($75)
3.  Pay Banner hanging fee ($125) and event/sign insurance ($170)
4.  Reserve "BOUNCER" from FUN RENTALS. ($385?) (DT)
5.  Schedule BBQ rental ($65) from United Rentals in Totem Lake, and Generator rental ($55) (or borrow from Clint Ferrell?) also from United Rentals.
6.  Locate Chairs and Tables (JT)
7.  Arrange Music - Band or DJ? (NS - note Peter Stephens is committed to DJ'ing a wedding that day so is unavailable for our Picnic.)
8.  Send Donation/solicitation letters to local business for food contributions.
9.  Locate volunteers (Teen Center?) to assist with Face Painting, working with kids, general assistance. (KN)
10. Canopy - Use 10 ft. Booth to be loaned by Kaylee Nilan.(KN). Also large umbrellas to be set up for sun protection (JT & TH)

One/Two Months in advance - 

1. Invite City Officials to be Pie Contest Judges (TH)
2. Publicize Picnic/Pie Baking Contest/Activities in Mark Twain Newsletter (JT), Courier (JT), Channel 21 (JT). Sandwich Boards ( )
3. Arrange for electricity from Firehouse. (JT)
4. Arrange for Helium from Praxair and Balloons from Party Express

Suggested activities:

§ Pie Baking Contest - Prior year winner to officiate? (MAB) (NS to get prize ribbons, tasting cups, water) Need to get prize for 1st Place (Sur La Table pie oriented item?)
§ Penny Toss (ZT)
§ Bouncer (DT)
§ Face Painting (KN)
§ Neighborhood Update Booth (Kari Page?)
§ Swing Dancing Lessons (KT) - Need recorded music (DJ)
§ Volleyball (JT)
§ Balloon Hats (ZT & KN)

§ COST to participate: FREE but DONATION boxes will be available
§ FOOD list:
§ Hotdogs, buns, drinks, ice cream, chips, ice, cake, dry ice, condiments, serving utensils, paper napkins, paper plates, garbage bags, paper towels. Garbage Cans will be located by JT.

OTHER BUSINESS:

4th of July Parade

We agreed to have a decorated float on a truck base as before and may allow decorated bicycles to be ridden by our neighborhood citizenry.
